The Role
We’re seeking a detail-oriented Administrative & Data Operations Assistant who can support a fast-moving team by keeping our systems organized, our trackers accurate, and our workflows running smoothly. This role is ideal for someone who enjoys structured work, technology, and helping streamline processes in a mission-driven environment.
What You’ll Do
Google Sheets & Data Coordination
Maintain and update multiple Google Sheet trackers (community outreach, project sign-ups, form submissions, event participation, resource logs, etc.)
Build and refine templates, dashboard-style views, and organized tabs based on staff needs
Consolidate data from Google Forms, Zoho, Salesforce, and other platforms into clean, accessible formats
Community Outreach Support
Send welcome emails/texts or email templates
Track community member onboarding steps and flag follow-ups
Monitor incoming submissions and route them appropriately
Process & Workflow Support
Assist with refining and documenting standard operating procedures (SOPs)
Identify steps that can be automated or simplified
Maintain organized shared-drive folders and help centralize resources from coalition partners
Project Support
Update project tasks in Wrike and support staff with ongoing priorities
Post updates and help maintain organization inside Slack channels
Support meetings by ensuring trackers and materials are up to date
What You Bring
3–5 years of administrative support experience
Strong proficiency with Google Drive and Google Sheets (comfortable with formulas and organizing data)
Solid communication skills — able to draft clear messages with minimal direction
High attention to detail and strong organizational instincts
Comfort working independently in a remote environment
Ability to juggle multiple tasks while keeping workflows clean and consistent
Tech-friendly mindset and willingness to learn new tools quickly
Preferred but Not Required
Experience with Zoho CRM and Wrike
Nonprofit experience
Familiarity with ChatGPT or other AI tools
