The Program Data & Reporting Coordinator will ensure that program data is organized and reliable, coordinating data inputs and managing reporting schedules to align with funder agreements. Responsibilities - Maintain a clear reporting calendar and proactively communicate deadlines to stakeholders, keeping everyone aligned and on track - Coordinate timely input collection from teams to allow for thorough review and approvals - Work closely with the Impact Data Analyst to collect, synthesize, and validate data for program and corporate reporting, ensuring accuracy and consistency - Build and deploy data collection surveys in close collaboration with internal stakeholders - Collaborate across teams to ensure all reporting outputs meet standards and data inputs are aligned - Support continuous improvement of tools and processes to enhance data quality and usability - Review and refine qualitative reports to ensure clarity, coherence, and alignment with funder expectations, as needed - Administer contractor agreements, purchase orders, and invoice reconciliation with accuracy and efficiency - Collaborate with Program Managers and Finance to support project forecasting and budget tracking, as needed - Contribute to the development and refinement of internal policies, procedures, documentation, and templates - Identify and support the implementation of process enhancements that improve operational efficiency and effectiveness Skills - Exceptionally detail-oriented - Strong organization and time management skills - Analytical thinker who enjoys working with data and solving problems - Quick to learn new software tools and systems - Comfortable working independently at your computer, managing data and documenting processes - Proven ability to collaborate effectively across diverse teams, influencing outcomes without direct authority - Demonstrates initiative, adaptability, and a continuous improvement mindset in fast-paced, dynamic environments - Skilled in Microsoft Excel (formulas, tables, data analysis, reporting) - Familiarity with financial processes such as budget tracking and invoice reconciliation is an asset - Experience with survey platforms, Power BI dashboards, or project management software (like Asana) is helpful, but not required Company Overview - Invest Ottawa delivers economic development programs and initiatives that increase entrepreneurial momentum, wealth and jobs in Ottawa.
