Executive Assistant – CPA Firm (Remote)
About the Role
We are a growing CPA firm seeking a highly organized and proactive Executive Assistant to support our senior leadership team. This is a fully remote position designed for a self-starter who thrives in a fast-paced, detail-oriented environment and can manage complex administrative responsibilities with minimal oversight.
Key Responsibilities
• Manage and maintain executives' calendars, including scheduling client meetings, internal calls, and tax deadline reminders across multiple time zones
• Coordinate and prepare materials for client presentations, proposals, and board-level meetings
• Draft, proofread, and distribute professional correspondence, reports, and engagement letters
• Serve as a primary point of contact between partners, staff, and clients — handling inquiries with discretion and professionalism
• Oversee travel arrangements, including flights, accommodations, and itineraries for conferences and client visits
• Maintain confidential client and firm records in compliance with applicable privacy and regulatory standards
• Track deadlines, filings, and deliverables across multiple engagements to ensure nothing falls through the cracks
• Support billing and invoicing processes, including time entry coordination and accounts receivable follow-up
• Assist with onboarding new clients and staff, including preparation of documentation and system setup
• Manage special projects and firm initiatives as assigned by leadership
Qualifications
• 5+ years of experience as an executive assistant, ideally within a professional services, finance, or accounting environment
• Exceptional written and verbal communication skills
• Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) and familiarity with practice management or accounting software (e.g., CCH, Thomson Reuters, QuickBooks) is a plus
• Demonstrated ability to manage competing priorities and meet tight deadlines in a remote setting
• High degree of discretion in handling sensitive financial and client information
• Comfortable working independently with minimal supervision
• Experience with project management tools (e.g., Asana, Monday.com, Notion) preferred
