About the Role We are seeking an experienced Administrative Virtual Data Entry Assistant to join our remote team. As a key member of our administrative support team, you will play a vital role in ensuring the smooth day-to-day operation of our office. Your primary responsibilities will include providing administrative support to our managers and employees, managing our company's general administrative activities, and performing a variety of administrative and clerical tasks. Key Responsibilities: - Accurately and efficiently inputting and updating data into arenaflex's databases and systems - Managing and growing arenaflex's social media presence across all platforms, including creating and scheduling engaging content, implementing social media campaigns, and analyzing and reporting on the performance of social media efforts - Providing support to our managers and employees, assisting in daily office needs, and managing our company's general administrative activities - Answering and directing phone calls, organizing and scheduling appointments, planning meetings and taking detailed minutes, writing and distributing email, correspondence memos, and assisting in the preparation of regularly scheduled reports - Developing and maintaining a filing system, transferring data from paper formats into computer files or database systems, typing in data provided directly from customers, creating spreadsheets with large numbers of figures without mistakes, verifying data by comparing it to source documents, updating existing data, retrieving data from the database or electronic files as requested, performing regular backups to ensure data preservation, sorting and organizing paperwork after entering data to ensure it is not lost, updating and maintaining office policies and procedures, ordering office supplies and researching new deals and suppliers, maintaining contact lists, submitting and reconciling expense reports, providing general support to visitors, acting as the point of contact for internal and external clients, and liaising with executive and senior administrative assistants to handle requests and queries from senior managers Requirements: - High School degree or equivalent; additional qualification as an Administrative assistant or Secretary will be a plus - Proven experience as a data entry clerk; fast typing skills; knowledge of touch typing system is strongly preferred - Excellent knowledge of word processing tools and spreadsheets (MS Office Word, Excel, etc.); working knowledge of office equipment and computer hardware and peripheral devices - Basic understanding of databases; good command of English both oral and written and customer service skills - Great attention to detail; strong organizational skills with the ability to multi-task; excellent time management skills and the ability to prioritize work - Proficiency in MS Office (MS Excel and MS PowerPoint, in particular); working knowledge of office management systems and procedures Preferred Qualifications: - Previous experience as a Secretary or Executive Administrative Assistant and familiarity within our industry - Knowledge of office management systems and procedures; working knowledge of office equipment, like printers and fax machines - Excellent written and verbal communication skills; strong organizational skills with the ability to multi-task; excellent time management skills and the ability to prioritize work What We Offer: - Competitive salary - Flexible hours per week - Remote work only - Financial benefits as per collective agreement - Opportunities for career growth and professional development - A dynamic and supportive work environment How to Apply: If you are a motivated and detail-oriented individual with excellent communication skills and a passion for delivering exceptional results, we encourage you to apply for this exciting opportunity.
