Job Summary
The Customer Service and Dispatch Representative will be responsible for handling customer service requests, appointment booking, customer questions, complaints, and billing inquiries with the highest degree of courtesy and professionalism. The successful candidate will be expected to resolve customer issues with one-call resolution, maintain good customer relations, and assist in the day-to-day operation of the Center. Key Responsibilities
- Answers incoming phone calls from customers and assists with calls or routes them to the appropriate person
- Maintains good customer relations and resolves a variety of customer concerns, complaints, and questions via phone, email, chat, or other channels
- Handles billing inquiries, technician ETA, scheduling issues, and general company product and service questions in a professional and courteous manner
- Resolves problems by clarifying issues, researching, exploring answers/alternative solutions, implementing solutions, and escalating unresolved issues as needed
- Maintains customer records by updating account information and accurately dispositions calls
- Continually maintains working knowledge of all arenaflex products, services, and promotions to provide exceptional support to customers
- Works to improve accuracy in scheduling and speed of response to ensure customer satisfaction
- Demonstrates reliable attendance and on-time job performance, with the ability to work evening and weekend shifts
- Performs similar/other duties as needed or assigned, with a focus on delivering exceptional customer experiences
Essential Qualifications
- High school diploma or equivalent with at least 1 year of experience working in customer service or another customer-facing environment
- Experience or training in the use of computers and related systems in an administrative office environment
- Excellent customer-service, communication, and interpersonal skills, with the ability to effectively communicate with customers, co-workers, and management
- Ability to multitask and work effectively in fast-paced and constantly changing work environments, with no loss in efficiency and effectiveness
- Effective organizational and time-management skills, with the ability to prioritize work based on service demands
- Ability to make decisions based on established guidelines and procedures, with a focus on customer satisfaction and empowerment
Preferred Qualifications
- Understanding and knowledge of the HVAC/Refrigeration Industry, or a related field
- Previous experience working in a dispatch or scheduling role, with a focus on customer service and support
- Ability to work independently and as part of a team, with a focus on delivering exceptional customer experiences
- Strong problem-solving and analytical skills, with the ability to resolve complex customer issues
