Under the general supervision of our Administrator / Office Manager, you'll be responsible for: * Coordinating new client onboarding and intake processes * Entering and maintaining accurate and up-to-date data in our systems * Providing exceptional customer service and support to clients and internal stakeholders * Assisting with data analysis and reporting as needed * Maintaining confidentiality and adhering to data security protocols * Collaborating with the team to achieve departmental goals and objectives * Staying up-to-date with industry trends and best practices in data management and customer service **Key Responsibilities** * Coordinate new client onboarding and intake processes, including: + Scheduling appointments and meetings + Gathering and verifying client information + Ensuring accurate and timely completion of onboarding documents * Enter and maintain accurate and up-to-date data in our systems, including: + Client contact information + Project details and status updates + Financial and billing information * Provide exceptional customer service and support to clients and internal stakeholders, including: + Responding to phone calls, emails, and other inquiries + Resolving client issues and concerns in a timely and professional manner + Collaborating with the team to ensure seamless communication and support * Assist with data analysis and reporting as needed, including: + Data entry and cleaning + Report generation and distribution + Identifying trends and insights to inform business decisions * Maintain confidentiality and adhere to data security protocols, including: + Protecting sensitive client information + Ensuring secure storage and disposal of confidential documents + Complying with industry regulations and standards * Collaborate with the team to achieve departmental goals and objectives, including: + Participating in team meetings and discussions + Contributing to process improvements and best practices + Supporting special projects and initiatives as needed **Essential Qualifications** * High school diploma or equivalent required; associate's or bachelor's degree in a related field preferred * 1-2 years of experience in data entry, customer service, or a related field * Excellent communication and interpersonal skills * Ability to work in a fast-paced environment and prioritize multiple tasks and deadlines * Strong attention to detail and accuracy in data entry and management * Proficiency in Microsoft Office, including Excel, Word, and Outlook * Familiarity with CRM software and data management systems a plus **Preferred Qualifications** * Experience in the industry or a related field * Certification in data management, customer service, or a related field * Familiarity with arenaflex's systems and processes * Strong analytical and problem-solving skills * Ability to work independently and as part of a team * Willingness to learn and adapt to new technologies and processes **Skills and Competencies** * Excellent communication and interpersonal skills * Strong attention to detail and accuracy in data entry and management * Ability to work in a fast-paced environment and prioritize multiple tasks and deadlines * Strong analytical and problem-solving skills * Proficiency in Microsoft Office, including Excel, Word, and Outlook * Familiarity with CRM software and data management systems * Ability to maintain confidentiality and adhere to data security protocols * Strong customer service skills and ability to provide exceptional support to clients and internal stakeholders **Career Growth Opportunities and Learning Benefits** At arenaflex, we're committed to helping our employees grow and develop their careers.
