We are a small property management company seeking a reliable, organized, and professional US-based Virtual Property Management Coordinator to support day-to-day operations. This role is primarily remote. We already have a local runner for in-person tasks such as keys, access, unit checks, and showings. Your role is to be the communication and coordination hub. We are looking for someone who is calm under pressure, communicates professionally with tenants, follows up with vendors, and keeps tasks organized so nothing falls through the cracks. Hours Part-time: 10–20 hours/week Workload varies week to week depending on maintenance volume and vacancies Flexible schedule, but must respond to tenant requests during normal business hours Responsibilities Respond to tenant calls, texts, and emails professionally Coordinate maintenance requests and schedule vendors Follow up until repairs are completed Track open work orders, vendor appointments, and invoices Assist with leasing support: rental inquiries, pre-screening, scheduling showings Prepare leases and addenda using templates (Word) Maintain organized tenant files and vendor lists Provide short daily/weekly status summaries Requirements Must be US-based Strong written communication and professionalism Excellent follow-through and organization Comfortable handling tenant issues calmly Tech comfortable (email, Word, Google Drive, spreadsheets) Prior property management, leasing, real estate admin, or customer service experience preferred Nice to Have Familiarity with SmartMove / TransUnion tenant screening Experience with Section 8 communication (helpful but not required) Experience coordinating vendors (plumbing, HVAC, electrical, handyman) To Apply Please include the following in your proposal: Your time zone and availability A brief summary of your relevant experience Your hourly rate The words “organized and proactive” in the first line of your message A short example of how you would respond to this tenant message: “My hot water has been out since yesterday and nobody is calling me back.” Compensation Hourly based on experience.
