Job Summary
As a Dispatch Service Coordinator for Patterson Dental, you'll play a critical role in ensuring that our customers receive exceptional service and support. This in-office/in-person position, located in Victor, NY, requires a high level of professional autonomy and attention to detail. You'll be responsible for triaging calls and inquiries from customers, assigning and scheduling service requests, managing resources efficiently, and monitoring service orders. Key Responsibilities
- Triage and Customer Service: Respond to calls and inquiries from customers, providing a professional and courteous experience.
- Service Request Scheduling: Assign and schedule service requests from clients or company personnel, ensuring efficient use of resources.
- Resource Management: Manage resources efficiently and effectively for all scheduled services, ensuring timely and cost-effective delivery.
- Service Order Management: Monitor service orders assigned to technicians, tracking progress and resolving any issues that may arise.
- Life Cycle of Service Orders: Create, edit, complete, and invoice service orders, ensuring accuracy and attention to detail.
- Reporting and Reconciliation: Reconcile various CRM reports on a monthly basis, providing insights into service operations and performance.
- Collaboration and Communication: Work closely with the Branch Procurement Specialist(s) and other stakeholders to ensure effective resource and project planning.
- Professionalism and Conduct: Demonstrate a commitment to Patterson values and professionalism through appropriate conduct at all times.
Essential Qualifications
To be successful in this role, you'll need:
- Education: Associate's degree or higher preferred, or 2-5 years equivalent industry experience.
- Customer Service Orientation: Express strong customer service orientation or related dispatching experience through excellent written and verbal/phone communication skills.
- Organizational and Multi-Tasking Skills: Strong organizational and multi-tasking skills, with sound judgment and excellent decision-making abilities.
- Attention to Detail: Great attention to detail, with ability to positively contribute to the Branch team environment.
- Technology Skills: Proficient in Microsoft 365 and SAP CRM platforms, with ability to learn and adapt to new technologies.
Preferred Qualifications
We'd love to see:
- Dispatching and Customer Service Experience: 1-3 years dispatching and customer service experience, with previous experience in the Dental industry preferred.
- Project or Resource Coordination: Previous working experience with project or resource coordination.
- Bookkeeping/Accounting Experience: Bookkeeping/accounting experience preferred.
