We are now seeking an exceptional Front Desk and Retail Specialist to join our team and contribute to our continued success.
Job Summary
We are looking for a highly skilled and versatile Front Desk and Retail Specialist to join our team. As a key member of our staff, you will be responsible for providing exceptional customer service, managing administrative tasks, and driving sales in our retail boutique. Key Responsibilities
- Operate telephone; relay messages to telephone stations; greet members and guests; answer club emails
- Assist other Departments as needed, including Accounting, Accounts Receivable, Membership, Marina, Security, Catering, F&B, Maintenance, and Club-related tasks
- Provide schedule and other club information to members and guests
- Sort and distribute incoming mail for all Departments
- Collect and post outgoing mail, including overnight mail services and occasional errands to the US Post Office
- Assist with filing mail for members or provide extra support to the back office as needed
- Pick up/drop off merchandise to local embroidery company for the boutique periodically
- Fulfill guests' requests, including placing phone calls, parking requests, guest cards, reservations, and more
- Perform general office work, such as typing, filing, and operating copy and fax machines
- Operate gate entry via telephone, properly screening anyone requesting access to SDYC facilities
- Maintain office supply inventories for Front Office and create inventory lists
- Generate dining room surveys weekly and email members
- Maintain an updated employee contact list and Front Office calendars
- Complete retail transactions, daily sales reports, and assist with retail organization and inventory
- Enforce reciprocal member guest guidelines
- Maintain member and guest records, including visits by guests, member charges, and more
- Process reciprocity letters/emails for SDYC members and respond to letters of introduction for reciprocal guests in a timely manner
- Update and maintain member mailing and telephone lists as needed
- Maintain lobby and club event postings for members or other important updates from catering or F&B
- Assist Accounting with monthly mailing of statements to members
- Make dining reservations
- Greet and direct members, guests, visiting reciprocal members, and vendors
- Maintain organization and tidiness of the Front Desk and boutique
- Record and communicate any maintenance requests with Facilities Director and GM
- Perform member-family relations responsibilities, including preparing and sending thank-you letters, get-well cards, flowers, and more
- Manage lost and found program
- Process members' purchases of gate openers, head keys, and dinghy tags
- Maintain spreadsheet of head key deposits, car decals, and bike/trailer/kayak/paddleboard decals
- Ability to access SDYC website, uploading documents, and completing updates
- Perform other duties requested by the manager on duty (MOD)
- Update weekly events communicated by Catering office as received
- Assist with monthly inventory, including counting, replenishment of sell-through, and maintaining visual standards daily
- Maintain organized back stock for all boutique merchandise
- Process sales transactions through POS system for members, guests, and employees and balance daily transactions

- Experience with Microsoft 365, Outlook Office, Adobe Acrobat, Excel, Canva, Mailchimp, and Website Management
- Cash handling and basic accounting skills
- Previous experience in a retail or customer-facing role

Compensation, Perks, and Benefits
