Position Overview
We are seeking an experienced and skilled Real Estate Virtual Assistant to join our team. As a Virtual Assistant, you will be responsible for providing administrative support to our real estate agents and clients. Key Responsibilities
- Build, implement, and manage all systems for sellers, buyers, rentals, lead generation, database management, information management, and back-office support
- Develop and execute social media and email marketing campaigns to promote our real estate services and engage with our clients
- Provide transaction management support, including overseeing contracts, coordinating with real estate agents, clients, attorneys, mortgage brokers, and inspectors, and ensuring that all administrative tasks are completed efficiently and effectively
- Manage document preparation, including ensuring compliance with office policies, assisting with e-signatures, and preparing contracts
- Create and maintain an operations manual that documents all systems and standards
- Coordinate activities related to listings, including validating information, inputting listings into the Multiple Listing Service (MLS) system, submitting commission invoices, and preparing marketing materials
- Prepare appointment materials, including generating Comparative Market Analysis for listings and sales comparisons for buyers
- Assist with client events, including planning, coordination, setup, and follow-up
- Manage database and client relationships, including tracking interactions, sending holiday and anniversary cards, and planning client events
- Provide support to the lead agent or showing assistant, including scheduling and arranging showings, sending relevant information to buyers and agents, and coordinating open houses
Essential Qualifications
- Social media marketing experience is required, with a strong understanding of social media platforms and their applications in the real estate industry
- Ability to quickly shift focus and prioritize tasks in a fast-paced environment
- Working knowledge of the following systems: Canva, Photoshop, CRM, Google Suite, Docusign, and KW Command database system
- Strong written and verbal communication skills, with the ability to communicate effectively with clients, agents, and other stakeholders
- Marketing skills, including social media, print, and web-based marketing, with the ability to develop and execute marketing campaigns
- Exceptional organizational and project management abilities, with the ability to manage multiple projects and tasks simultaneously
