Job Summary
We are seeking a highly organized and detail-oriented American Express Virtual Assistant to join our Global Merchant and Organization Evaluating (GMNP) team at Workwarp. As a key member of our team, you will provide administrative support to senior leaders and play a critical role in ensuring the smooth operation of our business. Key Responsibilities
- Calendar Management: Organize, confirm, and proactively manage detailed schedules, handling all aspects of complex senior-level meetings and related logistics.
- Communication Management: Place, receive, and manage a high volume of calls and messages.
- Travel Arrangements: Schedule and coordinate high-volume complex global and domestic travel, including flights, hotels, and ground transportation; coordinate essential identification/visa documentation.
- General Administrative Tasks: Perform general tasks, including but not limited to, preparing correspondence, document association, research, filing, and preparing pre-meeting materials for review.
- Travel and Expense Reporting: Prepare travel and expense reports on a timely basis.
- Confidentiality: Exercise caution in managing highly sensitive and confidential information.
- Employee Communications: Create and execute employee communications, including but not limited to, preparation of town halls, leader updates, and phone calls.
- Other Related Tasks: Other related tasks and responsibilities as required.
Requirements and Qualifications
Essential Qualifications:
- High School Diploma or Equivalent: A high school diploma or equivalent is required.
- Prior Experience: Prior experience as a virtual assistant or in an administrative role is preferred.
- Multitasking: Ability to handle multiple tasks efficiently and effectively while meeting tight deadlines.
- Self-Starter: Self-starter with excellent initiative and prioritization skills.
- Language Skills: Bilingual with the ability to communicate in Spanish (preferred).
- Independent Work: Demonstrated ability to use sound judgment, act independently, and be resourceful.
- Communication Skills: Excellent communicator and ability to influence at all levels of the organization.
- Organizational Skills: Strong organizational skills, high attention to detail, and ability to remain calm under pressure.
- Work Ethic: Demonstrated personal excellence and strong work ethic with an extreme will-to-win.
Preferred Qualifications:
- American Express Systems and Processes: Familiarity with American Express systems and processes.
- Technical Skills: Proficiency in Microsoft Office and Google Suite.
